Rockies & Plains Program Coordinator

BASIC SUMMARY:

This position involves a wide variety of responsibilities for Defenders of Wildlife’s Rockies and Plains Program. Principle responsibilities include providing program, technical, financial, research, and administrative assistance to the Director of the Rockies and Plains Program and other staff in the region (including field program staff as well as legal, outreach, and federal lands staff); and serving as a direct liaison to Defenders’ D.C.–based staff, Defenders’ members, and the general public.

 

This position also has lead responsibility for monitoring wildlife-related state legislation in seven state legislatures and coordinating Defenders’ responses with staff; monitoring state wildlife proposals from seven state wildlife commissions and coordinating Defenders’ responses with staff; and creating and maintaining an online Facebook presence for outreach to members in five states.

 

The Coordinator must possess a general knowledge of all programs and projects within the Rockies and Plains Program to assist the Director with oversight, implementation of work plans, program budgets, grant reports and compliance with procedures and schedules. The Rockies and Plains program focuses on key and imperiled species and habitats in Colorado, Kansas, Montana, Nebraska, North Dakota, South Dakota, and Wyoming. Species of special interest include bison, black-footed ferret, grizzly bear, wolf, and wolverine, as well as imperiled fish species.

 

The Rockies and Plains Program Coordinator is expected to serve as a trouble-shooter to help workplans flow smoothly and contribute to reaching the goals of Defenders’ strategic plan, and accomplishing the objectives and activities in the plan. Assignments are results- or goal-oriented, requiring substantial discretion on the part of the coordinator in determining how to meet the assigned goal (e.g. arranging events, supervising volunteers). This position combines significant program responsibilities with technical and administrative support.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Program and Technical Support:

  • Assisting field, legal, outreach, and federal lands staff with project research, coordination and contracts

  • Monitoring multiple regional state legislatures during legislative sessions to identify bills requiring Defenders’ involvement, and notifying and working with relevant staff to respond

  • Monitoring multiple regional state wildlife commission proposals requiring Defenders’ involvement, and notifying and working with relevant staff to respond

  • Creating and maintaining Facebook groups in five regional states to help facilitate and grow Defenders’ grassroots mobilization

  • Ensuring that the Rockies and Plains program sites on the Defenders website remain accurate and up to date, coordinating with program staff and IT staff to make revisions and additions, as necessary

  • Coordinating the tracking of all organization-wide coexistence projects and expenditures, and directing the other field coordinators to regularly provide regional information

  • Administrative Support:

  • Compiling and editing documents

  • Managing and distributing information to members, the public, and colleagues

  • Timely administration of contracts, check requests, reimbursement requests, and other financial procedures

  • Maintaining and ordering office supplies and organizing office materials

  • Backing up computer files on server and monitoring backup system

  • Developing and updating an office procedure manual covering administrative duties

  • Developing systems to track grants, mailings, deadlines, etc. and utilizing these systems

  • Acting as office liaison to outside services such as property managers, equipment vendors, and repair services

  • Budgets and Accounting:

  • Working with the Director of the Rockies and Plains Program and other staff to develop the office’s annual budgets

  • Monitoring and reconciling accounting statements

  • Entering office and field expenses into accounting software and monitoring budget compliance

  • Information Requests:

  • Responding to e-mails, letters, and telephone calls from members and other interested parties requiring technical responses, and distributing Defenders’ published reports

  • Meetings:

  • Coordinating scheduling and agendas for various meetings

  • Taking meeting notes and preparing formal or informal minutes as appropriate

  • Representing Defenders at outside meetings or hearings

  • Reports and Publications:

  • Producing factsheets, educational materials, and letters

  • Coordinating printing, graphics, and production of large publications

  • Computer and Equipment Assistance:

  • Trouble-shooting problems with the computer and other office equipment, in conjunction with internal staff members and/or outside experts

  • Other Duties and Responsibilities:

  • Serving as a liaison with Headquarters and other field staff

  • Facilitating ongoing communications with field staff and monitoring field staff’s compliance with all administrative policies and procedures

  • Perform all other related duties as assigned.

QUALIFICATIONS:

  • Education: Bachelor’s degree (B.A./B.S.) or equivalent in related discipline.
  • Experience: 2+ years of programmatic and administrative experience; environmental experience is preferred.
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Other:
  • Strong organizational and verbal communications skills
  • Excellent research, writing, and editing skills are required to assist with writing and editing of documents and publications
  • Must be extremely well-organized, capable of juggling many different projects and tasks, maintain a high level of accuracy, and able to set priorities in consultation with other staff members
  • Requires high level of computer literacy with advanced knowledge of Microsoft Word and willingness to learn new programs and features
  • Ability to manage grants and other financial accounts
  • Demonstrated awareness of and experience with the concerns and needs of individuals from diverse cultures, backgrounds and orientations
  • Ability to learn and effectively communicate substance of legally, scientifically and politically complex wildlife and wildland focused issue campaigns to Defenders’ constituency and the general public
  • Excellent writing skills and ability to convey effective messages to various constituencies

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to use a computer and communicate with others while doing so.

WORK ENVIRONMENT:

  • General office working conditions, the noise level in the work environment is usually quiet.
